Set up automatic roll forward in an Onvio Trial Balance project template or project

You can take advantage of the automatic roll forward feature by following these best practices when you set up a project template, or when you modify existing settings for a project.

Automatic roll forward is a process that enables you to create a new project that automatically uses the same settings as the project template.

Set up automatic roll forward for a project template

Use the following steps to set up automatic roll forward in a project template.

  1. In Onvio Center, choose Setup > Project Templates and select an existing template to edit, or add a new project template.
  2. Enter the appropriate information in the General section of the screen.
  3. In the Recurrence Frequency section, select the frequency at which to create a new project, and then select the appropriate options for the recurrence.
  4. In the Generation Method section select either of the first two options to set up automatic creation of a project.
    • Specified days until the next due date. Automatic roll forward occurs based on the number months and/or days entered in the fields that are displayed when this option is selected. 
    • When the current is complete. Automatic roll forward occurs when the status of the current project is changed to Completed.

    Note: If you select When I manually create it, you can manually roll forward a project at any time via the Actions menu in the project binder.

  5. Enter or select the appropriate information in the Target Dates, Primary assignments, Budget information, and Extensions sections.
  6. In the Document Storage section select the appropriate option from the Document Folder\Binder drop-down list to define the binder set up for the project.
  7. Mark the Use Roll Forward Setting for subsequent projects checkbox.
  8. Save your settings for the project template.

Set up automatic roll forward for an existing project

Use the following steps to set up automatic roll forward for an existing project.

  1. In the Projects screen, select an existing project by marking the checkbox next to the item in the list, and then click the Edit button.
  2. In the Generation Method section select either of the first two options to set up automatic creation of a project.
    • Specified days until the next due date. Automatic roll forward occurs based on the number months and/or days entered in the fields that are displayed when this option is selected.
    • When the current is complete. Automatic roll forward occurs when the status of the current project is changed to Completed.

    Note: If you select When I manually create it, you can manually roll forward a project at any time via the Actions menu in the project binder.

  3. Mark the Use Roll Forward Setting for subsequent projects checkbox.
  4. Save your settings for the current project.

Note: The application automatically applies the following actions to the new project binder when the Use Roll Forward Setting for subsequent projects checkbox is marked.

  • Retains and copies the folder structure from the rolled forward project to the new project.
  • Retains the roll forward settings for each workpaper from the binder of the original project—defined in the Workpaper Properties panel—and copies them to the new project.
  • Copies Checkpoint Engage placeholder workpapers into the rolled forward binder until Checkpoint Engage rolls forward the engagement. When the roll forward in Checkpoint Engage is complete, it replaces the placeholder files for the Checkpoint Engage workpapers in the binder.
