Migrate NetClient CS portals to Onvio Client Center

Before you start

Data that migrates

  • NetClient CS portals associated with more than one client will not be migrated. You'll be notified if you select a portal that cannot be migrated.
  • Only the MyTax and File Exchange files will be migrated.

Migrate NetClient CS portals to Onvio Client Center

  1. In Onvio, go to Setup, and then select Migrations.
  2. Select Start Migration, then NetClient CS.
  3. Sign in using your NetStaff CS account credentials.
  4. Choose the portals you're ready to migrate to Onvio Client Center portals.
  5. Wait for Onvio to send you an in-app notification and an email that the portals are finished migrating.

Conflicts

If any client data you import is similar to but does not exactly match data that already exists in Onvio, it'll be flagged as a conflict. You'll need to decide how to handle those conflicts before the migration is considered complete.

  1. To view conflicts, select Setup, then Migrations in Onvio.
  2. Select Resolve These Conflicts from the banner that will appear when a migration is paused during a conflict.
  3. For each conflict listed, select the applicable options presented to you.
  4. Select Submit when you're finished. You can submit at any time and come back to finish making your selections; you don't need to choose what to do with every conflict at once.
  5. Once all the conflicts are resolved, your data migration will be sent for processing.
  6. Wait for Onvio to send you a notification that the portals are finished migrating.

To have access to the Migrations screen, the Onvio company needs to have one of the following:

  • Onvio Platform (ONVPLAT)
  • Onvio Firm Management Essentials (ONVFM1)
  • Onvio Firm Management Advanced (ONVFM2)
  • Onvio Essentials (ONVESSENTIALS)

Migration behavior

If the migration does not find a client in the Onvio database that matches the NetClient client, one of the following will happen:

  • For 1040 (individual) clients, a new "Individual" client is created in Onvio using the client name, email address, and client ID. This information is determined by the My Tax permission from the portal.
    • Client Center is automatically enabled.
    • Documents are automatically shared to the "Individual" client.
  • For any client that is not a 1040 (individual), a new "Unspecified" client is created in Onvio using the client name, email address, and client ID. NetClient does not know and cannot assume an entity type, and so this will need to be manually updated after migration.
    • Documents will be migrated to the client, but not shared to any contacts.
    • You'll need to manually create a client-contact relationship in Onvio and then set up document sharing.

A Migrated Documents folder is always created for the client in Onvio Documents. The existing NetClient CS folder structure is maintained, so anything already in Onvio Documents isn't accidentally overwritten.

Document Presentation documents are not migrated with the NetClient CS migration, only with the FileCabinet CS migration.

Special scenarios

UltraTax portal is the "owner" of a client (has a group named "Portal-UT%")

The migration always associates File Exchange documents with the client that is named "Portal-UT%", which is created when an UltraTax CS client is assigned as the "Owner" of a portal via the Setup > Client Communications > NetClient screen in UltraTax CS. The "Owner" client can be any entity type.

This can be changed in UltraTax CS, but they'll need to re-send the documents to NetClient via File > Print Returns > Client Copy > Web.

Each client will show in the Conflicts area, and then the tax documents will be migrated to the chosen client in Onvio.

UltraTax portal is a "viewer" of tax client (does not have a user group named "Portal-UT%")

The migration uses the NetClient portal user information to try to find or create a client and contact in Onvio. However, this situation will almost always result in a conflict being identified because some information will match.

  • Portal-Display-MyTaxDocuments
  • Portal-Display-MyTaxDocuments
  • Portal-Display-File-Exchange

Portal only has File Exchange permissions and no tax documents

The migration uses the NetClient portal user information to find or create a client and contact.
