Migrate FileCabinet CS data to Onvio Documents

This article provides guidelines and best practices to help you migrate your firm's FileCabinet CS data to Onvio.

Before you start

  • Prepare for migration.
  • Make sure you're assigned to a permission group that has Migrations, Documents tab, and Client Documents enabled.
  • Know that drawers are locked while they are being migrated. Generally, a drawer that includes 30 documents should take 3-5 minutes to be migrated.
  • You do not need to have a current FileCabinet CS license to migrate your drawers and documents.

Migration steps

  1. Download the installation file. If you're on Virtual Office or Software as a Service, skip to step 3. The migration tool is automatically installed for you.

  2. Locate the fcab_migration_installer.en_us.msi file on your computer, open the file, and follow the steps in the setup wizard to install the FileCabinet CS migration tool.
  3. In FileCabinet CS, choose File > Export to Onvio.
  4. In the window that opens, enter your Onvio credentials and select Continue.
  5. In the Data Location field, choose the data location of the drawers to migrate.

    Note: If you get an error message saying "Cannot select the path", use a UNC path or map the network drive of the data path to the local Administrator account on your machine.

  6. Use the Select All button to move all available drawers to the right pane, or choose some drawers in the Drawers available pane and then use the Select button to move drawers to the right pane.
  7. Optional: in the Focus group box, you can filter the drawers that appear in the Drawers available pane by marking the checkboxes for Active, Inactive, Defunct, or Previously Migrated Drawers.

    Note: By default, FileCabinet CS does not show previously migrated drawers in the Drawers available pane. If you choose to migrate a drawer to Onvio that was already migrated, any duplicate files for those clients will be overwritten in Onvio.

  8. Mark the appropriate checkboxes in the Options group box.

    You can use these options together to choose a date range and then choose specific folders that you want to include within the selected date range.

    • Export documents from selected folders only. Mark this checkbox to open a window to choose to include all folders in a specified date range or to include specific folders. You can use the Select Folders button to open the window again to make changes before continuing.
    • Include Annotations: Mark this checkbox to retain all annotations in the migration process. After migration, annotations become permanent components of their associated documents.
  9. Select the Continue button to start the migration process.

Conflicts

If any client data you import is similar to but does not exactly match data that already exists in Onvio, it'll be flagged as a conflict. You'll need to decide how to handle those conflicts before the migration is considered complete.

  1. To view conflicts, select Setup, then Migrations in Onvio.
  2. Select Resolve These Conflicts from the banner that will appear when a migration is paused during a conflict.
  3. For each conflict listed, select the applicable options presented to you.
  4. Select Submit when you're finished. You can submit at any time and come back to finish making your selections; you don't need to choose what to do with every conflict at once. However, you cannot start another migration until all conflicts have been addressed.
