Share folders

When you or other staff members share a folder in Advisory Projects with specific clients, those clients will be able to view and download the files in these folders from within Onvio Client Center.

Note: In Onvio Client Center, clients will see only individual files from the folders you share.

  1. In Advisory, click Projects in the menu bar.
  2. Open the client project that has the folder you want to share.
  3. Mark the checkbox for the folder that you want to share.
  4. Choose Manage > Share Folder.
  5. In the Share Folder panel, enter the information.

    Notes

    • In the Share Folder panel, you can select contacts who are associated with the current client and who have access to Onvio.
    • Assigned roles will determine the actions that contacts can take on the files within the folder. For more information about these roles, see Folder sharing roles.
    • Clients cannot share files.
    • When a client uploads files to a shared folder, Onvio notifies the Partner, Manager, and/or Associate who is assigned to the client in the General tax of the Clients screen. Onvio notifies the firm Administrator if you have not made assignments in the Clients screen.
  6. Optional: Apply sharing to subfolders within the main folder that you are sharing. To do so, mark the Apply to Subfolders checkbox.
  7. To add or change contacts, click the Add or Change Contacts link, and update the contact information.
  8. Click Save.

Update contact information to enable sharing

If you select a contact who does not meet the criteria for folder sharing, the Enable Sharing panel opens. To enable sharing, do the following.

  1. If the Client Center Access buttons are visible, click the On button to enable access to Client Center.
  2. Enter the information.
  3. Click Save to enable sharing for the updated contacts.

Notes

View shared information

Once you share a folder with a contact, you can view information about the shared folder and files to help you keep track of the information you have shared.

  1. In Advisory, click Projects in the menu bar.
  2. Open the project for the contact with whom you shared the folder.
  3. Click the Share button next to the shared folder or file.

    The Shared With panel lists the actions that the contact can take with the folder.

    To edit the share actions, click the Edit Shared Details link.

Notes

  • At the folder level, you can edit share details.
  • At the file level, you can only view the list of people who share the folder, as well as the actions they can take.
  • The Share icon will also appear next to the folder in the Folders list so that you can see which folders have been shared.
